Position Details: Monday through Friday, 845am-515pm, with occasional earlier/later hours as needed. Fully onsite in Foxboro, MA in the Department of Orthopedic Surgery & Physiatry (located at Gillette Stadium).

What does a PA II do?

The Practice Assistant II plays an essential role in ensuring efficient department operations, high-quality patient service, and support for clinical and administrative activities.

What does a day look like in this role?

* Coordinate and schedule patient appointments, ensuring efficient follow-up and coordination with other clinics and services.

* Ensure thorough and efficient cleaning and preparation of rooms between patient visits. This includes disinfecting surfaces, changing linens, restocking supplies, and ensuring the room is orderly and ready for the next patient. These tasks are crucial in maintaining a clean, safe, and welcoming environment for all patients and staff.

* Conduct check-in and check-out procedures, manage patient flow within the Epic system, and facilitate timely room turnover to maintain an efficient care environment.

* Act as a primary point of communication for patients, families, and healthcare providers, managing interactions via phone and the medical record Patient Gateway portal.

* Manage patient referrals, obtain prior authorizations, and send appointment reminders to ensure a smooth care continuum.

* Provide administrative support during clinic sessions, participate in weekly NICU discharge planning rounds, and contribute to optimal patient outcomes.

* Organize monthly staff meetings, manage supplies, and perform clerical duties to support the center's operations.

* Serve as the reception point for the Center for Child Development, assist with calendar management, and coordinate meetings for division leadership.

* Adhere to HIPAA guidelines to ensure patient privacy and confidentiality.

Qualifications

QUALIFICATIONS:

  • High school diploma or GED required; post-high school education preferred.
  • Minimum one year of applicable work experience required.
  • Additional training in office systems preferred.

SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:

  • Knowledge of practice operations and standards.
  • Understanding of procedures including filing, copying, scanning, printing, and faxing.
  • Ability to use phone system (answer and screen calls, put on hold), answer routine questions, and give routine information.
  • Ability to interpret information as appropriate, answer routine questions in the most professional manner, and communicate in a professional, courteous, clear, and concise manner.
  • Ability to manage work processes in a neat and orderly way and to sort and alphabetize.
  • Ability to manage multiple tasks effectively, follow established protocols, and work within systems.
  • Ability to correspond and communicate with others clearly and effectively in writing (via e-mail, memo, or interoffice note) and to take complete and accurate messages.
  • Ability to type and enter data at an entry level. Entry level understanding of applicable systems.
  • Understanding of the appropriate use and importance of related forms.
  • Basic understanding and use of medical terminology.
  • Basic comprehension of insurance types and referral process.
  • Basic comprehension of registration and fiscal information.
  • Knowledgeable and compliant with all hospital, State, and Federal requirements (where applicable to job performance), including policy and procedures with The Joint Commission and HIPAA.
